Who we are

Mainline Groundworks (“we”, “us”) is the data controller for personal data collected through this website. For privacy requests use privacy@mainlinegroundworks.co.uk. Commercial project enquiries should be submitted through our online forms.

Project and quote enquiries

When you submit a project, quote, commercial or tender enquiry, we collect the information you provide. That typically includes your name, phone number, email address, postcode or town, the service or package you need, company name where relevant, and any project details you include (for example description, stage, value band or dates).

We use that information to review your request, acknowledge it, assess fit, and — where appropriate — connect you with suitable contractors so they can respond. Forms include a short notice explaining this. Submitting an enquiry is a request for that handling and matching service; it is not treated as consent for unrelated marketing.

Lawful bases

Under UK GDPR we rely on the following bases for the purposes below (more than one may apply):

• Article 6(1)(b) — steps at your request prior to a contract: receiving and handling your quote/project request, operational emails about that enquiry, and matching you with suitable contractors so they can respond.
• Article 6(1)(f) legitimate interests — operating and securing our contractor marketplace (including lead review, sanitised previews, fraud/spam prevention, and service improvement). We balance these interests against your rights; you may object where applicable. A short legitimate interests assessment for marketplace matching should be retained internally.
• Article 6(1)(a) consent — only where we specifically ask for it (for example analytics cookies via our banner, or any future marketing preference that is separate from a project enquiry). We do not use project form submission as consent for unrelated marketing.
• Article 6(1)(c) legal obligation — where we must keep records for tax, accounting or regulatory reasons.

How enquiries are processed and shared with contractors

Enquiry submissions are stored in our operational systems (including a spreadsheet used by our team and our marketplace database). We may email you an acknowledgement. We may create a marketplace lead so vetted contractors can review a sanitised summary and, if they pay to unlock the lead, receive relevant contact and project details in order to respond to you.

Before unlock, contractors generally see only non-identifying marketplace information (for example lead type, broad location, category and price). Your name, email, telephone number, full postcode and original message are revealed only after a completed unlock purchase (or equivalent authorised access), and only for leads that remain eligible for marketplace sharing.

Categories of recipients can include: Mainline Groundworks staff; vetted marketplace contractors who unlock a lead; email and hosting providers that process data on our instructions; and payment processors for contractor unlock payments (which process contractor payment data, not your enquiry as a payment).

We do not sell your enquiry data for unrelated marketing lists.

Processors and tools

We use service providers to run the website and enquiry pipeline. Depending on the feature, that can include website hosting, databases, email delivery, analytics (only after you accept analytics cookies), advertising technology such as Google AdSense, and payment processing for contractor lead unlocks. These providers act as processors or independent controllers as applicable and are required to protect personal data appropriately.

Validation and security

We validate form fields and may use tools to reduce spam and automated abuse. No additional personal data is collected by validation beyond what you enter.

How long we keep enquiry data

We retain enquiry and marketplace lead records for as long as needed to handle your request, operate the marketplace, meet legal or accounting obligations, and resolve disputes. Marketplace listings may expire after a set period; related records may be retained securely thereafter where we have a legitimate need to keep them.

Cookies

This site may use essential cookies to support basic functionality (for example, remembering your preferences or session state, including assignment to an on-site experience test so the page stays consistent for you). We may also use analytics or similar tools to understand how the site is used and to improve it. Analytics tools load only if you accept them via our cookie banner. You can control or disable non-essential cookies through your browser settings.

We may also use Google AdSense to display advertising. Google and other third-party vendors may use cookies or similar technologies to serve ads based on your prior visits to this or other websites. Your rights

Depending on applicable law, you may have rights to access, correct, delete or restrict use of your personal data, to object to processing based on legitimate interests, or to withdraw consent where processing is based on consent (withdrawal does not affect processing already carried out).
